Store management

Staff and permissions

Staff and permissions

Everyone who works on your store gets their own login. What each person can do comes from the roles you give them. Every role is a set of permissions.

All of this lives under Settings → Users, which has two sub-pages: Roles and Security.

The store owner

The person who created the store is the Store owner, and has full access to everything. The owner cannot be suspended, removed or given a different role, and nobody else can be made owner.

Some actions are owner only, even for staff with every permission:

  • Inviting someone with the Administrator role
  • Changing the roles of an existing user
  • Suspending, reactivating or removing a user

Inviting staff

  1. Settings → Users → Add users.
  2. Enter one or more email addresses, separated by commas.
  3. Under Roles, assign at least one role. The Permission summary shows what the person will be able to do.
  4. Press Save.

Each person gets an email headed "You've been invited to [store] on Eekaam". The link in it opens Set up your account, where they choose a password of at least 8 characters.

Until they do that, they show as Pending in the users list. Resend invite sends a fresh link.

Your plan sets how many staff accounts you can have. See Plans and pricing.

A user with no roles can sign in but can do almost nothing. Always assign a role when you invite.

Roles

Settings → Users → Roles lists every role. Each store starts with these built-in roles. They are marked System and cannot be edited or deleted.

RoleWhat it covers
AdministratorFull access, the same as the owner except for the owner-only actions
App developerFull access, for someone building an app for your store
Customer supportOrders (view, edit, payments), customers (view, create, edit)
MerchandiserProducts, collections, inventory and pricing; view orders
MarketerDiscounts; view products and customers
Online store editorPages, blog posts and navigation menus; view products
CashierView orders and create orders, take payments; view products; view and create customers
Store managerOrders and payments, customers, inventory, discounts
Sales associateView and create orders, take payments; view products; view and create customers

If none of these fit, Add role creates your own. Give it a name, tick the permissions it grants, and save. A person with several roles gets every permission from all of them.

What each permission unlocks

The role editor lists more permissions than Eekaam checks today. These are the ones that control access:

Manage user settingsInvite users, resend invites, and manage roles

Manage general settings is far broader than its name. It covers your theme and your payment credentials too. Give it only to people you would trust with the whole store.

Removing access

Open the user from Settings → Users, or use the checkboxes in the list:

  • Suspend access blocks them from the store straight away, but keeps their account. Reactivate restores it.
  • Remove deletes their access to this store and frees the staff seat. You can invite them again later.

Suspend or remove anyone who leaves, and do it on their last day.

Security

Settings → Users → Security has two tools:

  • User activity logs record invites, role changes, suspensions and removals, with who did them.
  • Collaborators generates a code you can share with a designer, developer or marketer, so they can request access to the store.
